What UK tradespeople need to know about using digital signatures for quotes — and why generic e-sign platforms are a poor fit for construction workflows.

What Is a Digital Signature on a Quote?
A digital signature on a contractor quote is the customer’s electronic confirmation that they accept the work and price described. Instead of printing, signing, scanning, and emailing a document back — or replying with a vague “go ahead” — the customer draws their signature on screen, types their name, and submits.
The result is a clear record: a signed document showing exactly what was agreed, when, and by whom.
Are Digital Signatures Legal in the UK?
Yes, for the vast majority of business transactions. The UK Electronic Communications Act 2000 and UK eIDAS principles establish that electronic signatures should not be denied legal effect solely because they are electronic.
The Law Commission has confirmed that electronic signatures can generally be used for standard commercial agreements. For ordinary contractor quote acceptance — extensions, kitchens, bathrooms, roofing, decorating — a simple electronic signature is appropriate.
In Jaevee Homes Ltd v Fincham [2025] EWHC 942 (TCC), the court recognised that digital communications can form binding construction contracts where the usual elements of contract formation are present.
Why Trades Need Something Different
Most e-signature platforms — DocuSign, Adobe Sign, HelloSign — are designed for office workflows: HR contracts, procurement agreements, legal documents. They assume the sender will upload a PDF, place signature fields manually, and manage signing order.

If a customer disputes what was agreed, the strength of your evidence matters. A WhatsApp “yeah go ahead mate” is weak evidence because it doesn’t confirm exactly what was agreed or show the full quote details.
A strong evidence trail for quote acceptance should include:
- The full quote — scope, line items, and total, preserved exactly as sent
- A drawn signature — reproduced as an image from the customer’s input
- A typed name — confirming identity
- A server-recorded timestamp — recorded at the moment of acceptance, not set by the customer’s device
- An email address — linked to the acceptance
- An IP address — additional context for non-repudiation
Together, these create a stronger evidence chain than a typed name alone. They don’t guarantee a specific outcome in every dispute, but they establish a clear and documented record of what was accepted.

Retention and Data
Signed agreements should be retained appropriately. Under the UK Limitation Act 1980, the standard limitation period for simple contracts is 6 years. We recommend retaining signed agreement records for at least that period.
Personal data collected at acceptance may include name, signature image, email address, IP address, and related technical context. This may be processed under legitimate interests for maintaining evidence of contractual acceptance. Contractors should ensure their own privacy policy references this processing.
