INCLUDED ON EVERY PLAN

Get trade quotes signed without chasing WhatsApp replies

Send a link. Your customer signs on their phone in minutes. You get a signed PDF with their name, signature, timestamp and IP address — a clear record they accepted. No separate e-sign tool, no chasing, no “yeah go ahead” texts.

Stop chasing. Start getting clear approvals.

Most tradespeople send a quote by email or WhatsApp, then spend the next week chasing a reply. When the customer finally says yes, it’s a one-line text with no record of what they actually agreed to.

TailoredQuote gives you a clear acceptance record. You send the quote, your customer signs it on their phone, and you both get a PDF with the full scope, price, drawn signature, and timestamp. If there’s ever a question about what was agreed, you have a record of what was accepted, when and by whom.

What your customer sees

Your customer receives a clear email showing your business name and the quote total. They tap one button and land on a mobile-first page showing:

Below the quote summary, they:

The whole process takes under a minute. No account needed. No app to download. They can clear and redraw their signature as many times as they like before submitting.

How it works

Step 1
Create your quote
Type your site notes, let TailoredQuote draft the scope, check the price, and save. Tick “Request e-signature” and enter your customer’s email.
Step 2
Customer gets a link
They receive a branded email with the full quote PDF attached and a “Review & Accept” button.
Step 3
They sign on their phone
They review the scope and price, draw their signature, type their name, and tap accept. Works on any device.
Step 4
Signed PDF ready
A signed agreement PDF is generated with their signature, name, timestamp and IP. You both get a copy by email.

What the signed record includes

Every signed agreement is a multi-page PDF. It contains the full original quote (scope, line items, total, your letterhead and any attached photos) plus an Acceptance Certificate recording:

A drawn signature, typed name, server timestamp, email and IP address together create a stronger evidence chain than a vague text message. The signed PDF is stored in private authenticated storage — only you can download it.

Better than the old way

Without TailoredQuote
  • Email a PDF, then chase by phone and WhatsApp
  • Wait days for a vague “yeah go ahead” text
  • No clear record of what they actually agreed to
  • Separate e-sign tool = another login, another monthly cost
  • Quotes in one place, approvals somewhere else
With TailoredQuote
  • Send for signature in one click
  • Customer signs on their phone in under a minute
  • Signed PDF with signature, timestamp, IP and full audit trail
  • No separate platform — built into your quoting tool
  • Quote, approval and signed record all in one place

Why tradespeople prefer this to DocuSign

Generic e-signature platforms like DocuSign or Adobe Sign are built for office contracts and HR paperwork. They work, but they’re not designed for how builders and tradespeople actually send quotes.

Privacy and record keeping

Customer photos and project images uploaded to TailoredQuote are private by default. They are stored in your account and are not used for marketing, training, or shared with other users unless you give separate written permission.

Acceptance links use 256-bit random tokens and expire automatically after 14 days. Duplicate submission protection ensures simultaneous taps only produce one acceptance record.

Signed agreement PDFs are stored in private authenticated storage with no automatic deletion. We recommend retaining signed agreements for a minimum of 6 years in line with UK simple-contract record-keeping practice under the Limitation Act 1980.

Legal context

TailoredQuote’s e-signature workflow is designed for ordinary quote acceptance — the kind of day-to-day approvals common in UK building and trades work. Under the UK Electronic Communications Act 2000, electronic signatures should not be denied legal effect solely because they are electronic.

The Law Commission has confirmed that electronic signatures can be used for the vast majority of business transactions. A drawn signature, typed name, server timestamp, email and IP address create a stronger evidence chain than a typed name alone.

Important: this workflow is suitable for standard quote acceptance. It is not intended for deeds, wills, land transfers, notarial documents, or transactions that require witnessed or more formal execution methods. If you are unsure whether an electronic signature is appropriate for your situation, take legal advice.

Frequently asked questions

How does the digital signature work?

Create a quote, tick “Request e-signature”, and enter your customer’s email. They receive a branded email with a secure link. They review the scope and price, draw their signature on any device, type their name, and accept. A signed agreement PDF is generated automatically and emailed to both of you.

Does the customer need an account or app?

No. They click the link, sign on their phone, tablet or desktop, and submit. No account, no app, no login.

Can the customer sign on their phone?

Yes. The acceptance page is designed mobile-first. They draw their signature with a finger and tap accept. Works on any device.

What happens after the customer signs?

You get an email notification with a direct link to the signed PDF. The status on your Saved Quotes page updates to “Signed.” Your customer also gets a confirmation email with the signed PDF attached.

Can I resend the signature link?

Yes. Click “Resend Link” from your Saved Quotes page. This generates a fresh link and expires the previous one.

Is this suitable for standard trade quote acceptance?

Yes. This is designed for ordinary quote acceptance in UK building and trades work. It is not intended for deeds, wills, or specialist transactions requiring witnessed or notarial execution.

Does this replace DocuSign or Adobe Sign?

For trade quote acceptance, yes. You don’t need a separate platform. The workflow — create, send, sign, store — happens inside TailoredQuote with no per-document fees.

How long are signed agreements kept?

Signed PDFs are stored with no automatic deletion. We recommend keeping them for at least 6 years, in line with UK simple-contract record-keeping practice under the Limitation Act 1980.
