How it works
What the signed record includes
Every signed agreement is a multi-page PDF. It contains the full original quote (scope, line items, total, your letterhead and any attached photos) plus an Acceptance Certificate recording:
- Drawn signature — reproduced as an image from their signature pad
- Typed full name and email address
- Server-recorded timestamp — recorded at the moment of acceptance, not set by the customer’s device
- IP address
- Browser, device and operating system
- Event timeline — when the link was sent, opened, viewed, when the signature started, and when they accepted
- E-consent record — confirmation the customer agreed to electronic signing
- UK legal framing — referencing the Electronic Communications Act 2000

Privacy and record keeping
Customer photos and project images uploaded to TailoredQuote are private by default. They are stored in your account and are not used for marketing, training, or shared with other users unless you give separate written permission.
Acceptance links use 256-bit random tokens and expire automatically after 14 days. Duplicate submission protection ensures simultaneous taps only produce one acceptance record.
Signed agreement PDFs are stored in private authenticated storage with no automatic deletion. We recommend retaining signed agreements for a minimum of 6 years in line with UK simple-contract record-keeping practice under the Limitation Act 1980.
Legal context
TailoredQuote’s e-signature workflow is designed for ordinary quote acceptance — the kind of day-to-day approvals common in UK building and trades work. Under the UK Electronic Communications Act 2000, electronic signatures should not be denied legal effect solely because they are electronic.
The Law Commission has confirmed that electronic signatures can be used for the vast majority of business transactions. A drawn signature, typed name, server timestamp, email and IP address create a stronger evidence chain than a typed name alone.
