How to Upload Your Letterhead and Brand Your Quotes

Make every quote and invoice look like it came from an established business — in under two minutes.

Last updated: April 2025

Your letterhead is one of the simplest ways to look more professional. When a client opens a quote PDF and sees your logo, business name, and contact details on branded paper, it immediately builds confidence — before they have even read the first line item.

TailoredQuote lets you upload your letterhead as a PDF. Once uploaded, it is automatically used as the background for every quote and invoice you generate. This guide walks you through the process.

What You Need

Don't have a letterhead? You can create one for free using Canva, Microsoft Word, or Google Docs. Search for "letterhead template" and customise with your business details. Export as PDF.

Step-by-Step Guide

1
Sign in to TailoredQuote
Go to tailoredquote.co.uk/login and sign in with your credentials.
2
Navigate to Letterhead
Click Letterhead in the top navigation bar. This opens the letterhead management page where you can upload, preview, and replace your letterhead.
3
Upload your letterhead PDF
Click the Upload button and select your letterhead PDF from your device. The file will be processed and stored securely against your account. Both desktop and mobile uploads are supported — you can photograph your letterhead and convert to PDF on your phone if needed.
4
Preview the result
After uploading, the system displays a preview showing how your letterhead will appear as the background of a generated quote. Check that your logo is positioned correctly and that the text area does not overlap with your letterhead content.
5
Save and you are done
Click Save. From this point forward, every quote and invoice PDF you generate will automatically use your letterhead as the page background. You do not need to do anything else — it is applied to all documents going forward.

Tips for a Great Letterhead

Changing Your Letterhead Later

You can replace your letterhead at any time by returning to the Letterhead page and uploading a new file. The new letterhead will be used for all future documents. Previously generated PDFs will not change — they retain the letterhead that was active when they were created.
