How to Create and Send Invoices from Your Phone

Step-by-Step: Creating an Invoice

Open the invoicing section

Sign in to TailoredQuote and navigate to your invoices. From the main dashboard, this is accessible via the navigation menu.

Click "New Invoice"

Tap + New Invoice. The system creates a new invoice with an automatic reference number (e.g., INV-0044).

Select or add the customer

Choose an existing customer from the dropdown, or type a new customer name. If the customer already exists in your system from a previous quote, their details are auto-populated.

Add line items

Enter each item of work completed:

Description of the work (e.g., "Kitchen refit — units, worktops, and tiling")
Amount for each line item
The system automatically calculates the subtotal, VAT (if applicable), and total

Review and send

Check the invoice details, then tap Send. The branded PDF is emailed directly to your customer's email address. You can also download the PDF for your own records.

Tip: Create invoices from site immediately after completing the work. The sooner you invoice, the sooner you get paid. Most clients pay faster when the invoice arrives while the work is still fresh in their mind.

Tracking Payments

Every invoice you send has a status:

Sent — invoice has been emailed to the customer but not yet paid
Paid — you have marked the invoice as paid after receiving payment
Overdue — the payment due date has passed without payment

You can mark any invoice as paid with a single tap. This gives you a clear view of your outstanding income at any time.

Monthly Downloads and Payment Reminders

At the end of each month, you can download all invoices for that period as a batch — perfect for sending to your bookkeeper or accountant. You can also filter to see only overdue invoices and send payment reminders directly from the platform.

Invoicing vs Quoting
