TailoredQuote vs QuickBooks
QuickBooks is accounting software. TailoredQuote is quoting software. They solve different problems, and many UK tradespeople use both side by side.
What each tool actually does
QuickBooks Online has been helping UK small businesses manage their finances for years. It handles invoicing, bank feeds, expense tracking, VAT returns through Making Tax Digital, basic project costing, and payroll (as an add-on). It is a reliable accounting platform used by thousands of tradespeople and their accountants.
TailoredQuote sits at the start of the sales process, before you have won the job. You describe a project in plain English and the AI drafts an itemised scope of work with professional language. You review every line and set every price before sending. The output is a branded PDF with your letterhead. On the Pro plan, you can add room mockups showing the client an illustrative version of the proposed finish. E-signatures let the customer accept the quote on their phone.
TailoredQuote does not do accounting. It cannot reconcile bank transactions, file VAT returns, run payroll, or produce profit and loss reports. QuickBooks does all of that. In the other direction, QuickBooks has an estimates feature, but it does not draft scope descriptions for you, produce construction-specific language, or generate room mockups.

QuickBooks strengths
- Full accounting suite. Bank feeds, reconciliation, VAT filing through Making Tax Digital, and profit and loss reports. TailoredQuote does not do any of this.
- Quote-to-invoice conversion. Accept an estimate in QuickBooks and it converts directly into an invoice. This saves admin time for straightforward jobs. TailoredQuote does not have this feature.
- Accountant access. Your accountant can log in, review your books, and file returns. QuickBooks integrates with hundreds of apps.
- Self-Employed plan. Popular among sole traders for separating personal and business expenses at a low monthly cost.
- Native mobile app. Well-designed for on-the-go invoicing and expense capture.
TailoredQuote strengths
- AI-drafted scope descriptions. Describe the job in your own words and the AI drafts itemised scope text in professional UK English. You review and set every price. QuickBooks estimates require you to write all descriptions manually.
- Construction-specific output. The AI understands UK trade terminology and produces scope language appropriate for builders, bathroom fitters, kitchen installers, and similar trades.
- Room mockups (Pro). Upload a photo, describe the changes, and get an AI-generated visual of the proposed result. QuickBooks has no equivalent.
- E-signatures. Send a quote link, the customer signs on their phone, and you get a signed acceptance certificate. QuickBooks does not offer this.
- Branded PDF output. Upload or create a letterhead and every quote comes out with your branding. QuickBooks has templates, but they are designed for invoices rather than detailed construction scopes.
Using them together
The two tools handle different stages of the same workflow. TailoredQuote creates the quote that wins the job. QuickBooks manages the finances afterwards. There is no direct integration -- you create the invoice in QuickBooks manually after the job is accepted -- but many tradespeople find this two-step approach straightforward.
When QuickBooks alone is enough
If your quoting needs are simple -- standard line items, fixed-price packages, or repetitive jobs where the scope does not change much -- QuickBooks estimates may cover you. If your main challenge is managing money rather than winning work, QuickBooks is the higher priority.
When TailoredQuote adds value
If you regularly quote for projects where the scope varies -- renovations, bathrooms, kitchens, extensions -- and you spend significant time writing each quote, TailoredQuote can speed that up. The AI drafts the scope; you control every price. Whether it is worth the subscription depends on your quoting volume and how much presentation quality matters in your trade.
